1. General Policy Overview
Sahodaya School Complex Pune operates as a collaborative academic network for CBSE affiliated schools. All payments made to us—including annual school membership fees, event registration fees, and seminar subscriptions—are used directly to organize academic schedules, host events, and run the member portal.
Consequently, all payments processed through this portal are final and non-refundable, except as specifically outlined in these policy terms.
2. School Membership Fees
Membership subscriptions are paid on an annual cycle to maintain school listing and directory features:

No Refunds: Annual membership renewal fees are non-refundable once the subscription is processed and the school profile is activated on the directory portal.

Cancellation: A member school may request to cancel its directory listing and deactivate its account at any time. However, no partial or full refunds of the annual subscription will be issued upon deactivation.
3. Seminar, Workshop, & Competition Registrations
Fees for inter-school sports matches, student talent meets, academic conferences, and teacher development seminars are managed as follows:
- No Refund on Absence: Registration fees are non-refundable if a registered school, teacher, or student team fails to attend the scheduled program.
- Participant Transfers: If a registered participant (student or teacher) from a member school is unable to attend, the school may replace them with another participant from the same institution. Written notice of substitution must be emailed to the organizers at least 48 hours prior to the event.
4. Event Cancellations & Rescheduling
On rare occasions, events may be cancelled or rescheduled due to school schedule adjustments, venue unavailability, CBSE directives, or force majeure events (e.g., weather conditions):
- Rescheduling: If an event is postponed or rescheduled, registrations will automatically carry over to the new date. Schools unable to attend on the rescheduled date may request a credit note for future event entries.
- Cancellation: If an event is cancelled entirely by Sahodaya School Complex Pune, a full refund of the event registration fee will be processed back to the registered schools.
5. Failed Transactions & Double Payments
In case of technical issues during payment checkout (such as system timeout or connectivity loss):

Duplicate Deductions: If money is deducted twice from a school's account for a single transaction, the payment gateway will automatically flag the anomaly and initiate a reversal.

Manual Investigation: If a duplicate payment is not reversed within 5 working days, please email us with the payment transaction IDs, date, and deduction screenshots. Once verified, duplicate payments will be refunded via our payment gateway within 7 to 10 working days.
Note: Refund clearance timelines depend on the processing speeds of intermediate banking institutions and payment gateways, which typically range between 7-10 business days.
